Damaged PAM bags on delivery create both a handling problem and a purchasing evidence problem. Torn packaging, moisture exposure or unreadable labels should not be resolved by quietly feeding the material into the preparation system. Preserve the identity of the delivery, isolate affected stock and follow the site's safety and quality procedure while the supplier reviews the condition.
Record the condition before moving the evidence
Where safe, photograph the affected packages, pallet condition and relevant labels at receiving. Record the delivery reference, date, apparent extent of damage and any observations made with the carrier. Do not expose staff to a spill merely to obtain a better photograph. Wet polymer can create a serious slip hazard; follow the product safety information and local cleanup procedure.
Keep unaffected and affected material distinguishable. A delivery containing a few damaged bags does not automatically establish that the entire shipment is unusable, but the decision must follow an appropriate assessment. Do not assume that an intact outer wrap proves that all inner packages remained dry.
Protect product identity during quarantine
Use a marked hold location and keep the batch reference linked to the purchasing record. If a damaged package requires secondary containment for safe handling, retain the original identification rather than creating an untraceable bag of powder. Avoid transferring questionable material into a common hopper where its later use cannot be reconstructed.
The storage guidance describes why moisture control matters. For a shipment from Xinqi Polymer, provide the grade, batch and photographs through the agreed commercial contact. A supplier information resource is background only; the actual claim needs evidence from the specific delivery.
Ask for a disposition, not an informal reassurance
Request written instructions identifying what should be returned, assessed or otherwise handled under the agreed process. Product suitability may require technical review, and transport responsibility may require a separate commercial review. Do not treat a verbal promise of credit as authorisation to use uncertain stock.
If testing is proposed, agree what question the test can answer and how the sample will be taken safely. A small favourable jar result cannot necessarily establish the condition of all material in a damaged package. Record the scope and limitations of any decision to release stock.
Keep continuity separate from the claim
Use qualified reserve stock or an approved contingency supply route while the issue is resolved. Avoid turning urgency into an unrecorded substitution. Inform operations which batches remain available and which are held, so a night shift does not consume quarantined material inadvertently.
Close the claim with the agreed disposition, quantities and supporting documents. Then review whether packing, unloading or storage instructions need clarification on the next order. The practical objective is safe, traceable stock and a defensible resolution, not merely a photograph attached to an email after the material has already disappeared into production.
